ReviewPrivacy Policy
How information is used in the ReviewPilot website and review-management workflow.
1. Scope and contact
This policy covers ReviewPilot’s marketing website and review-management service. Businesses using ReviewPilot determine their purposes for managing reviews and remain responsible for their own privacy practices. Send privacy questions to support@drivelinkapps.com.
2. Information involved
The service handles connected business and location information, account details, Google review text, reviewer display information, ratings, dates, generated replies, publishing status, business instructions, and context supplied by authorised users. Optional employee-mention tracking extracts names appearing in reviews and associates them with mention counts and ratings.
3. How information is used
Information is processed to bring reviews into your inbox, generate personalized response drafts, apply configured publishing controls, flag suspected spam when enabled, provide analytics, and send configured reminders and summaries. Information provided in a demo or support enquiry is used to respond to that enquiry.
4. AI processing
OpenAI is the current AI provider used to generate response drafts from review text, business instructions, and any added context. Anthropic is the planned provider for an additional AI response check that is still in development and is not currently part of the live workflow. 5. Who receives information
Authorised users can access the locations and records permitted by their account. Approved or automatically published responses are sent to Google and become public. Configured email recipients receive reminders and activity summaries. Exported information and copies held by your business fall under your business’s own handling practices.
6. Website enquiries and delivery
Our marketing website is hosted by Cloudflare. The demo form sends your name, email address, business details, and optional message to sales@drivelinkapps.com through Amazon Simple Email Service in Canada. Submissions are handled as email correspondence, not stored in a separate website lead database. Cloudflare Turnstile processes technical browser and network information to help prevent automated abuse. Website fonts load from Google, whose servers receive the requests needed to deliver them.
7. Retention, storage, and safeguards
The ReviewPilot application is hosted on Amazon Web Services (AWS) infrastructure in Canada. This hosting location does not mean that all third-party processing, including processing by AI providers, takes place exclusively in Canada. Reviews, generated responses, and related review analytics are retained for 12 months from the review date. When an account is closed, remaining account data is deleted within 30 days of closure. Responses already published on Google remain on Google; deleting ReviewPilot data does not remove those public responses. 8. Employee mentions and suspected spam
Mention analytics can include positive or negative feedback and may incorrectly identify a name. Spam flags can also be wrong. These indicators should be reviewed in context rather than treated as conclusive assessments of an employee or reviewer.
9. Access, correction, and privacy concerns
Contact support@drivelinkapps.com to request access or correction, discuss deletion or withdrawal of consent, or raise a privacy concern. Requests are subject to applicable law and identity verification where appropriate. For information controlled by a business using ReviewPilot, contact that business as well. Do not email identification documents unless a secure process has been arranged.

We may update this policy as our services and information-handling practices change. Updates will be published on this page.
